Billing Policy

How ScrublyIQ meters scan credits, resets your monthly quota, refunds failed and accidental scans, handles DealShield credits, and treats cancellations. In plain language, matching exactly how the platform behaves.

1. Plans and Scan Credits

  • Each paid plan includes a fixed number of scan credits per month: 30 on Solo, 50 on Starter, 200 on Pro, and 500 on Enterprise. The Free plan includes 15 scans per month.
  • One completed analysis (Deal Card) uses one scan credit. The credit is only counted once the analysis is committed.
  • Annual plans cost ten times the monthly price, which means two months are free compared to paying monthly. The displayed prices are for reference; the amount actually charged is set in Stripe.

2. When Your Scan Quota Resets

  • Your scan quota resets at the start of each calendar month (UTC). The counter returns to zero and your full monthly allowance is available again.
  • Annual plans are billed once a year but still receive the same monthly scan allowance, reset every calendar month. Being on annual billing does not give you a larger monthly quota; it gives you the two-months-free annual price.
  • The reset happens on your billing renewal, and a scheduled job also resets any account that went a full month without a scan, so a quiet month never leaves you with a stale counter.

3. Automatic Refund When a Scan Fails

  • If a scan fails before it produces a Deal Card, the scan credit it used is automatically returned to your quota. You are not charged a credit for an analysis you cannot view.
  • This applies to both real-time scans and background (asynchronous) scans, and the refund is applied exactly once even if the job is retried internally.
  • If the automatic return itself fails, the analysis is flagged and our team is alerted so the credit can be restored manually. You will never be silently short a credit for a failed scan.
  • When you open a failed analysis, the Deal Card confirms that the credit was returned, so you can retry with confidence that the retry is a fresh, fairly counted scan.

4. Accidental Scans and the Oops Buffer

  • If you scan the wrong file by mistake, you can flag the analysis as accidental within 24 hours of the scan. After 24 hours the flag is no longer available.
  • Each plan includes a monthly allowance of self-service accidental-scan refunds, called the oops buffer: 3 on Solo, 5 on Starter, 12 on Pro, and 25 on Enterprise per month.
  • While you still have oops-buffer allowance for the month, flagging an analysis as accidental returns the scan credit immediately.
  • Once you reach the monthly allowance, further accidental-scan requests are sent to our team for review before the credit is restored. You are emailed when a credit is restored.

5. DealShield Credits

  • DealShield is an optional per-scan add-on that runs additional third-party business-verification checks on a merchant. It is paid for with DealShield credits, which are separate from your monthly scan credits.
  • DealShield credits are personal to your account and are not pooled across an organization.
  • Individual (non-organization) subscriptions include a monthly grant of DealShield credits by plan: 3 on Solo and Starter, 10 on Pro, and 25 on Enterprise. Organization-billed accounts purchase DealShield credits rather than receiving a pooled grant.
  • You can also buy DealShield credits in bundles of 1, 10, 25, or 50. One credit is spent per DealShield-verified scan, and the balance can never go below zero.
  • If a DealShield scan fails, the DealShield credit it used is returned to your balance.

6. Scan-Credit Top-Ups

  • If you need more scans within a month, you can buy scan-credit top-ups in bundles of 10, 25, or 50.
  • Top-up credits are added to your scan limit for the current period. On an organization plan, top-ups are added to the shared organization pool and require an organization administrator.

7. Cancellation and Plan Changes

  • Cancellations and plan changes are handled through the Stripe billing portal from your account settings. ScrublyIQ reacts to the outcome that Stripe reports; it does not cancel or prorate on its own.
  • When a subscription ends, your account moves to the Free plan with 15 scans per month. Your scan counter is reset so a previously higher count never locks you out of the Free allowance.
  • Any proration for a mid-cycle upgrade or downgrade is calculated by Stripe. If you downgrade, your monthly allowance changes to the new plan and your counter settles on the next monthly reset.
  • If a renewal payment fails, your account is marked past due and keeps working for a short grace window while you update payment, rather than cutting off immediately.
